Modify review settings and highlights

In Review Settings, you can modify reviewer tracking and coding propagation settings, set assignment fields, quick tags, and redaction labels, and specify terms for persistent highlights. You can also modify the colors for default and persistent highlights.

Client Administrator or higher roles can set up the assignments fields.

To modify review settings, complete the following procedure.

  1. In the Account Menu, select Project Settings.

  2. In the left pane, click .
  3. To set up the reviewer tracking field, propagation, or quick tags, select Coding and do the following.
    1. To enable reviewer tracking, follow these steps.

      1. Set the Enable Reviewer Tracking toggle to the right.

      2. In Field to Track, select a field.

        • This field lists only Single Choice, Multiple Choice, Boolean, and Date field types.

      3. In Idle Time Threshold, set a threshold for reviewer idle time. The minimum idle time threshold you can set is 5 minutes, the default is 15 minutes, and the maximum is 60 minutes.

    2. To enable propagation, follow these steps.

      1. Set the Allow Propagation toggle to the right.

      2. In Select method to propagate by, select one or more propagation methods from the following.

        • Family

        • Email Thread

        • Near Duplicates

      3. Optional. Select the Require confirmation. Prompt user when coding the field or applying Quick Tags checkbox. With this option enabled, if you code a coding form field for which you have set up propagation or apply a quick tag, the Propagate dialog box appears, allowing you to update the propagation methods or skip propagation.

        • Note that in this dialog box, The methods that appear reflect the methods chosen in Select method to propagate by.

    3. In , set the tags you want to appear in the review grid to enable quick scanning. You can set quick tags using default coding fields and custom fields that are single or multiple choice.
      1. For each of the six quick tags, select a field, and then a value.
        • You can select the same field for multiple quick tags, but the values must be different.

      2. To disable a quick tag, click the toggle to the left. The system removes this quick tag from the review grid.

      3. To enable a quick tag, click the toggle to the right. The system displays this quick tag in the review grid.

    4. To save the settings, click .

  4. To modify search and text highlights, select and do the following.
    1. When setting the persistent highlights (Responsive Color, Privilege Color, and Global), you can upload terms in bulk using a CSV or TXT file. To do so, create a CSV or TXT file containing the terms you want to highlight. 
      •  Include one term per row or line. Do not add any headings.
      • Each field supports up to 100 terms.

      • Each term must not exceed 50 characters. If a term exceeds 50 characters, the system displays the Upload Completed with Errors dialog box. The dialog box identifies the issue and lists the affected term.

      • The system skips duplicate and incorrectly formatted terms.

    2. In , select the color that Search uses to highlight matching terms within a document.
      • This includes the search by typing a term or phrase in the Search box at the top of the Inspect or Review page and the search by typing a term or phrase in the Content Search pane when displaying the document in Native or Image mode.

    3. In , specify the terms that you want to highlight in blue in the documents to flag the reviewer's attention regarding the Responsive tag category. Type a set of terms (separated by commas) or bulk upload terms by following the steps below.
      1. Click the Bulk Add Terms icon next to the field.
      2. In the Bulk Add Highlight Terms dialog box, do the following steps.

        1. In File, navigate to the CSV or TXT file you created.

        2. Select the file and click Open.

        3. Click Upload.

    4. In , specify the terms that you want to highlight in orange in the documents to flag the reviewer's attention regarding the Privilege tag category. Type a set of terms (separated by commas) or bulk upload terms by following the steps below.
      1. Click the Bulk Add Terms icon next to the field.
      2. In the Bulk Add Highlight Terms dialog box, do the following steps.

        1. In File, navigate to the CSV or TXT file you created.

        2. Select the file and click Open.

        3. Click Upload.

    5. To add a global highlight to a unique tag category tailored for this project, perform the following steps.
      1. In , click .
      2. Select one of the twelve highlight colors.
      3. In , enter a new category name.
      4. In the box under the name, type a set of terms (separated by commas) or bulk upload terms by following the steps below.
        1. Click the Bulk Add Terms icon next to the box.
        2. In the Bulk Add Highlight Terms dialog box, do the following steps.

          1. In File, navigate to the CSV or TXT file you created.

          2. Select the file and click Open.

          3. Click Upload.

    6. To remove an existing category, to the right of the category, click .
    7. Click .
      • The system automatically saves all bulk added terms, whereas you must save the manually entered terms.

  5. To set the redaction labels, select Redaction Labels.
    • When you create a project, the following labels are available by default:

      • Attorney Client Privilege

      • Privacy Information

      • Redacted. You cannot delete this label.

    • To create a label, add a label in the text box, and then click Add.

    • To delete a label, perform the following steps.

      1. Click for a label.

      2. Click Save.

  6. To set up the assignments fields, select Assignments and do the following.

    • To create a field, follow these steps. You can create up to 10 fields.

      1. Click Create Field.

      2. In the Create New Field dialog box, do the following.

        1. In Field Name, type a name for the new field.

        2. In , select one of the following options to specify the type of data to populate the field.

          • Single Choice. Short text field. Also, you can add multiple field values but can select only one field value when marking the documents in Inspect or Review using the coding form.

          • Multiple Choice. Short text field. Also, you can add multiple field values and select multiple field values when marking the documents in Inspect or Review using the coding form.

          • Short Text. Support up to 255 characters.

        3. For a single choice or multiple choice field, do the following steps.

          1. To add a value, enter a value in Add Values, and then click Add. The values appear in Value Display Order.

          2. To edit a field value, in Value Display Order, select the field value and edit the value as needed.

          3. To delete a value, in Value Display Order, click in a value.

          4. To change the order of the values, select the drag handle and drag it up or down.

          5. To make the field optional for assignment creation, select Field is Optional.

        4. Click . In the list, you can view the new field in alphabetical order under . For more information, see Assignment field reference.

    • To edit a field, follow these steps.

      1. In Assignment Fields list, locate the field.

      2. Click next to the field.

      3. In the Edit Field dialog box, follow these steps.

        1. In Field Name, update the name as needed.

        2. To make the field optional for assignment creation, select Field is Optional.

        3. For a single choice or multiple choice field, do the following steps.

          1. To add a value to the field, enter a value in Add Values, and then click Add. The added values appear in Value Display Order.

          2. To edit a field value, in Value Display Order, select the field value and edit the value as needed.

          3. To delete a value, in Value Display Order, click in a field value.

          4. To change the order of the values, select the drag handle and drag it up or down.

        4. Click .

    • To delete a field, follow these steps.

      1. In Assignment Fields list, locate the field.

      2. Click next to the field.

      3. In the Edit Field dialog box, click Delete Field and then confirm.
